Travel Lodged Account

Benefits of the Travel Lodged Account

As the first Card Company to introduce a virtual Travel Lodged Card in South Africa, we continue to stay firmly abreast of global trends by delivering proactive solutions to our customers who are transacting in the digital space.

The Diners Club Travel Lodged Account facilitates the most convenient payment method for companies with executives who fly frequently.

Lodged at your approved Travel Management Company for efficiency and convenience, this one-stop travel product enables air tickets, car hire, hotel accommodation charges, foreign exchange purchases, visa fees, service fees and other travel related services to be consolidated easily and quickly on one account.

The Travel Lodged Account includes a host of benefits, such as:
 

Enhanced Cash Flow

By processing your travel expenses on the Diners Club Travel Lodged Account, your company will receive a period of up to 55 days interest-free within which to settle your Diners Club Account.
 

Payments

A monthly invoice will be presented and payments are only due 25 days from the close off date of your account.
 

Reconciliation Process

A weekly or monthly invoice may be forwarded to your preferred Travel Management Company to attach all relevant documentation (invoices, order forms etc.) and forward them to your accounts department for further reconciliation and payment.
 

Diners Club Advantage

With Diners Club Advantage, the reconciliation process can start even sooner. Advantage is an Online Business Services system that gives companies – and their Travel Management Companies – the ability to access and view their invoices online at any time. Diners Club transaction data is updated within 24 hours, allowing yesterday’s transactions to be viewed today.
 

Enhanced Invoice Functionality

In addition to your monthly invoice, the transaction information can be sent electronically in a CSV file to both you and your Travel Management Company. This data can be opened directly into an excel spreadsheet or downloaded and integrated into your accounting software, thus saving manpower. These CSV files are also available via Diners Club Advantage – any invoice viewed online may be downloaded in a CSV format at the click of a button.
 

Security and Convenience

Security – only the nominated Travel Management Company may process transactions. The Travel Lodged Account card cannot be used like a normal charge card, as it is a virtual card and only allows travel-related expenditure to be processed. A more recent security feature is the introduction of a CVV2* number - ensuring greater security as well as increased acceptance on internet booking engines as well as on self-booking tools.

Convenience – more than one Travel Management Company may be linked to a Diners Club Travel Lodged Account. The system allows for payment to be made to one supplier, namely Diners Club, eliminating the need to pay multiple travel suppliers such as car rental companies, Forex, hotels etc.
 

Automatic Travel Insurance

Each public conveyance ticket booked on the Diners Club Travel Lodged Account receives free and automatic Phase 1 travel insurance cover, for emergency medical expenses as well as accidental death. Phase 11 or 111 insurance can be acquired at a minimal additional cost.
 

Car Rentals

More often than not, car hire and air travel go hand in hand. With the Travel Lodged Account, Diners Club makes it easy and safe for your company.
  1. Diners Club pays the car rental company on your behalf providing you cash flow
  2. Special numbers can be issued if required for car hire, keeping these transactions separate from other travel expenditure (optional)
  3. Your preferred car rental company keeps these separate Diners Club numbers on their system and bills the relevant number after each rental. This enables you to monitor rentals more easily and without error (optional)
 

Hotel Accommodation

The Travel Lodged Account also offers an easily controlled voucher system for hotel accommodation. Strict authorisation prevents abuse, and at the same time simplifies procedures throughout.
 

Minimum Risk, Maximum Flexibility

The Travel Lodged Account prevents overspending and other forms of abuse. At the same time however, it does not place unreasonable restrictions on staff travel. The account may be lodged with several Travel Management Companies, tickets may be purchased from any airline, cars may be hired from your preferred suppliers, and there are no designated hotels.

Thanks to our advanced administrative system, your staff receives choice and convenience, while eliminating the risks associated with carrying cash.

All travel expenditure is consolidated on one account where it is expertly and conveniently monitored and managed.
Please note: due to the fact that the Travel Lodged Account is not personalised, travellers may not earn Bonus Frequent Flyer miles on it.

Glossary of abbreviations used in terms of the documentation required to accompany the application forms:
 
  1. CK 1 = Founding statement and Certificate of Incorporation
  2. CK 2 = Amended Founding Statement
  3. CM1 = Certificate of Incorporation
  4. CM22 = Notice of Registered Office and Postal Address
  5. CM29 = List of Active Directors
  6. CM47 = Certificate to Commence Business (PTY LTDs)
  7. CM9 = Name change documents (PTY LTDs) – required where company recently processed a name change and is applying for a new facility
  8. CM26 = Conversion from CC to PTY LTD - required where company recently changed from CC to PTY LTD and is applying for a new facility
  9. MP928 = Airplane registration document – required for aviation fuel cards where a card is captured with the details of a specific plane

What is a resolution?
A resolution is a legally binding, written statement made by a company’s board of directors/shareholders detailing the decision taken for a certain action and which officer/s in the company have signing power and are authorised to act on its behalf. All application forms for Diners Club Business Services must be accompanied by a resolution, completed and signed by all the board of directors/shareholders or by a certified extract from the minutes signed by the chairman or the company secretary.
